In today's fast-paced industrial landscape, businesses in construction, manufacturing, field services, and other safety-focused sectors require robust health and safety software and operations management systems. The choice between off-the-shelf software and a fully customisable platform like Worksmatic can significantly impact efficiency, compliance, and overall business success. Here, we explore the unique advantages of Worksmatic's customisable configuration solution and why they are a superior choice compared to off-the-shelf alternatives, all while being cost-effective.

The Limitations of Off-the-Shelf Software

Off-the-shelf software solutions are pre-packaged and designed to meet the general needs of a broad audience. While they can be quick to implement, they often lack the flexibility needed to adapt to specific organisational and operational requirements. Key limitations include:

  1. Limited Customisation: Off-the-shelf solutions offer restricted customisation, often only allowing for minor adjustments in layout or basic features. This can lead to inefficiencies and a mismatch between the software's capabilities and the unique processes of a business, particularly in safety-focused industries like construction and manufacturing.
  2. Generic Functionality: These solutions are designed to cater to a wide range of industries, which can result in a lack of specialised features crucial for health and safety management. The generic nature can hinder the implementation of specific health and safety protocols or operational workflows.
  3. Scalability Issues: As businesses grow or their needs evolve, off-the-shelf solutions may struggle to scale or adapt, potentially requiring costly and time-consuming upgrades or replacements.

Worksmatic's Customisable Platform: A Game Changer

Worksmatic offers a fully customisable health and safety operations management system that addresses the limitations of off-the-shelf solutions. Here's how Worksmatic stands out:

1. Tailored Customisation

At the heart of Worksmatic's offering is its unparalleled customisation capability. The platform allows businesses to:

  • Configure Dashboards and Menus: Customise dashboards and navigation menus to align with specific operational workflows and organisational structures, essential for construction industry software and manufacturing safety management.
  • Adjust System Settings: Tailor the system settings to match the corporate identity, including branding, layout, and user permissions.
  • Integration Capabilities: Seamlessly integrate with existing systems through APIs and third-party plugins, ensuring a smooth flow of data across platforms, crucial for field services management software.
  • Turn Features On and Off: One of the standout features of Worksmatic is the ability to turn additional features on and off as needed. Many clients grow into the system's vast and rich feature list at their own pace. For example, construction partners often start by integrating time and attendance to payroll company-wide. As they become comfortable with the system, they can enable additional functionalities like health and safety monitoring, operations management, and asset management, or even use the system's offline capabilities.

This level of customisation ensures that the software not only meets but enhances the business's specific needs, offering a solution that feels bespoke without the bespoke price tag.

2. Cost-Effective Solution

Despite the advanced customisation features, Worksmatic remains competitively priced, often matching or even undercutting the cost of many off-the-shelf systems. This is achieved through a robust framework that supports extensive customisation, reducing the need for expensive bespoke software development.

3. Enhanced Functionality

Worksmatic goes beyond basic software offerings by providing a suite of advanced features:

  • Digital Transformation: Convert traditional health and safety documentation, forms, audits, and risk assessments into digital formats, streamlining workflows and improving data processing efficiency. This feature is pivotal for businesses aiming for digital transformation in safety management.
  • Cloud-Based Access: Enjoy the flexibility of accessing the platform from any location with internet connectivity, enhancing collaboration and scalability. This makes Worksmatic a top choice for those seeking cloud-based software solutions.
  • Cross-Platform Usability: The software is compatible with any device, ensuring a seamless experience whether you're using a desktop, tablet, or smartphone. This is vital for businesses needing cross-platform compatibility.

4. Centralised Management and Compliance

Worksmatic centralises all client data, safety documents, and reports in a single hub, providing quick access and real-time updates. This centralisation not only improves data management but also supports compliance with industry standards, such as ISO 45001 compliance, by ensuring all documentation and processes are up-to-date and aligned with regulatory requirements.

5. Boosted Productivity and Collaboration

The platform's automated workflows and customisable templates reduce the burden of manual tasks, allowing teams to focus on strategic initiatives. Moreover, Worksmatic facilitates internal and external collaboration, making it easier for teams, sites, and clients to communicate, share updates, and track progress. This is particularly useful for enhanced productivity in safety-focused industries.

6. Real-Time Insights and Analytics

Access to comprehensive analytics and reporting tools provides valuable insights into safety and operational performance, enabling informed decision-making and proactive management. These real-time analytics and reporting capabilities are essential for continuous improvement and compliance monitoring.

7. Flexibility and Scalability

Worksmatic is designed to grow with your business. Whether you're a small consultancy or a large-scale construction firm, the platform's scalability ensures it can handle your needs, no matter the size or complexity. This flexibility is a key differentiator for businesses looking for scalable business solutions.

Conclusion

Choosing the right software for health and safety and operations management is crucial for the success of any business in safety-focused industries. While off-the-shelf solutions offer quick fixes, they often fall short in flexibility and customisation. Worksmatic provides a fully customisable, cost-effective solution that not only meets but exceeds industry needs, offering enhanced productivity, compliance, and collaboration.

Overview Smiths Group, a multi-division engineering and manufacturing enterprise with over 500 employees across nine divisions, embarked on a digital transformation journey to streamline operations, enhance compliance, and modernise workforce management. Worksmatic partnered with Smiths Group as their dedicated digital transformation and software consultancy partner. Together, we launched a tailored, multi-phase rollout of our platform to centralise operations, digitise compliance, and drive efficiency — all while maintaining business continuity and aligning with Smiths’ unique workflows. Phase 1: Understanding the Business – Needs Analysis & Strategic Planning Our journey began with an in-depth needs analysis across Smith’s operations. We assessed: Existing operational processes Health & safety protocols Compliance management practices Current software ecosystem and gaps Key improvement areas identified by senior stakeholders The goal was clear: to build a centralised platform that connects people, processes, and priorities, tailored specifically to Smith’s needs. We followed this with a collaborative strategy session involving key stakeholders from across the organisation. Together, we: Defined critical business priorities Identified internal champions (“ambassadors”) to drive adoption Aligned our deployment roadmap with business goals Ensured continuity of operations throughout the transition Phase 2: Foundation First – Time & Attendance to Payroll Integration The initial rollout focused on the Time & Attendance to Payroll module, acting as the foundational layer that integrates all users, from full-time staff to subcontractors and external stakeholders. Key features delivered: Custom permissions trees, ensuring each user accesses only what they need Streamlined workflows for document sharing, communication, and task approvals A unified user base to plug into future modules with minimal friction This phase was deployed over 2–3 months, running in tandem with existing processes to avoid disruption. Configuration was done in real time, adapting to Smith’s evolving needs. A major focus was payroll — with over 600 employees across six divisions, Smiths required a highly customised system. We worked closely with the accounts team to: Map out complex payroll rules and sub-rules Address exceptions and edge cases for various employment types Build a reliable, scalable payroll engine within the platform “Worksmatic allowed us to design the system around how we already operate, not the other way around.” — James Cross, Group Operations Manager Early Wins & Measurable Impact X% reduction in payroll processing time X hours/week saved in administrative workflows X% adoption rate within the first 8 weeks Improved visibility across teams and compliance functions Phase 3: Health & Safety Module – Compliance Made Smart With people management in place, we deployed the Health & Safety module. In partnership with Smiths’ SHEQ team, we migrated and rebuilt: Preferred audit templates and safety documentation Risk assessments, COSHH records, policies, and communication workflows Training materials and site-specific requirements Our approach ensured that Smiths’ safety culture wasn’t just preserved — it was enhanced through smarter workflows and digital access. We also rolled out in-person training, carefully coordinated with internal ambassadors and site visits across locations. This hands-on, face-to-face engagement was key to: Driving adoption and confidence Building trust across diverse teams Demonstrating real-world use of the system ''The support and on-site training made a real difference — it helped us bring our teams with us on this journey.” — Russell Robinson, Health & Safety Coordinator Challenges Tackled Head-On Every transformation has its hurdles. A few key challenges we solved: Mapping multi-division payroll rules across 600+ employees Migrating legacy documentation without disrupting workflows Driving user engagement across multiple sites and business units Keeping operations live while digitising core systems Timeline of Key Milestones Month 1–2: Needs Analysis & Strategic Planning Month 3–5: Time & Attendance to Payroll Module Month 6–7: Health & Safety System Launch Month 8–10: Training Rollout & Continuous Optimisation Future Milestones: Asset Management, Digital Training & Induction, Custom Workflows Looking Ahead: A Long-Term Partnership This is just the beginning of our journey with Smiths Group. Over the coming months, we’ll continue to roll out: Asset management solutions Training and induction digitisation Custom-built workflows tailored to division-specific needs As an IOSH-accredited partner, we also support Smiths with expert input into health & safety strategy, ensuring their systems aren’t just compliant — they’re industry-leading. We’re proud to be more than a vendor — we’re a technology partner and digital consultant, evolving alongside the business and delivering continuous value. Conclusion Smiths Group chose Worksmatic not just for software, but for a partner who understands their business, listens to their needs, and builds technology around how they work. As this collaboration continues to grow, one thing is clear: Smiths Group is future-ready, and Worksmatic is right beside them, every step of the way.
